Application Management

Applications are now being managed through the Applicant Dashboard.   Applicants can now track the progress of their application, see what items are outstanding and receive their admission letters through this portal. 

Applicants will be provided with a ÂÜÀòÉäÇø Student email address and link to access their dashboard through single sign-on. 

Please note that applicants are first required to set up their ÂÜÀòÉäÇø Student Email in order for single sign-on to work.  

Accessing the Applicant Dashboard

Step 1: Activate your ÂÜÀòÉäÇø account

With a few days of submitting your application, you will receive an email from ÂÜÀòÉäÇø (noreply@unbc.ca) with the subject line Activate your ÂÜÀòÉäÇø Account to the email address you provided in your application. This activation of the ÂÜÀòÉäÇø account is required as all notifications with respect to tracking your application items, and your admission decision notification emails will be sent to this ÂÜÀòÉäÇø account. Once you have finished the sign-up process, you will receive a ÂÜÀòÉäÇø email address (e.g. teststudent@unbc.ca). You can find more information about your ÂÜÀòÉäÇø account on our website.

If an applicant has multiple ÂÜÀòÉäÇø email address (staff/faculty/alumni), please use your ÂÜÀòÉäÇø student email address to log into the applicant dashboard (e.g. teststudent@unbc.ca).

An activated ÂÜÀòÉäÇø student email address and password is required to access the Applicant Dashboard. Additionally, we will email notifications to your ÂÜÀòÉäÇø Student Account, so make sure you check it frequently. The Graduate ÂÜÀòÉäÇø Team will NOT provide an applicant updates via direct email correspondence so you may wish to consider setting up email forwarding to an email address you do check regularly. . 

Note: You are expected to reply from your ÂÜÀòÉäÇø email account, particularly when you are sending attachments at all times.

If you are using an agent:

Applicants who are using agents to apply must ensure they enter their own email address (not an agent provided email address) in their application. Signing up for a ÂÜÀòÉäÇø account or Applicant Dashboard must be done with an email that belongs to the applicant. Failure to do so can result in your application being voided or rejected.

Step 2: Sign up for the applicant dashboard

Following submission of your application, your file enters a queue for an admissions review. Once the initial review is completed, you will receive an email with instructions to your studentemail@unbc.ca email address on how to sign up for the Applicant Dashboard. The timing of this message will vary. During peak application submission times (for example, right before an application deadline), you may not be given access to check on the status of your application for a couple of weeks.

If you are an alumni of ÂÜÀòÉäÇø, please DO NOT use your alumni email.  You must use your student email address to sign up to the dashboard.  IT will have reset your student email address to AD in order for you to access your dashboard if you did not receive notification from IT.

To sign up for your Applicant Dashboard, you MUST have an active ÂÜÀòÉäÇø student email address (see step 1). Instructions on how to sign up will be included in the email you receive in your ÂÜÀòÉäÇø account. If you submitted your application more than 14 days ago and have not received an invitation to the dashboard, email FutureGradStudents@unbc.ca.

I could not log into the applicant dashboard via SSO   

If you find the following errors: 27 or 18, please contact graduate-admissions@unbc.ca for help.  If other errors occur, please contact IT support for help.

A note about unsubscribing:

In the emails you receive from us, you may see an option to unsubscribe at the bottom of the message. Please note, choosing to unsubscribe will mean that you do not receive further communications from our office (including an update on when your admission decision is ready).

Application tracking

When you submit your application online, most of your application requirements should have been included at the point of application. However, your application will not be complete until all your references are received (for programs requiring references). It may also be determined that you are missing a specific requirement. You should regularly check your to ensure all items required for your application are received (see picture below).

Please ensure that you are checking your for missing checklist items.  Missing documentation/information should be emailed to graduate-admissions@unbc.ca

A note about references:

Shortly after submitting your application, we will send your referee a link to a web form for completion. Once your referee completes their reference, your checklist will be updated with a received date. If your checklist is not showing a received date for a reference, please check to ensure you have provided us with the correct email address.  You can confirm this by checking your applicant dashboard checklist.  If it is correct, then follow up with your referee directly. Note that ALL references are due within 14 days of the application deadline.

Study Permits

Once you have received notice that your application has gone to program you must begin your study permit process.  It can take up to 6 months for the process.  If you have any questions with regards to applying for your study permit, please email ie@unbc.ca

Admission decisions

Once your application has had an initial review, it is sent up to the Admission Committee in your program of application. The timing for receiving a decision varies widely. Some programs will complete cohort admissions and other programs admit on a rolling basis. For a Fall (September) start, we typically send out decisions in the Spring (March-April).

Your admission decision will be populated in your once it has been processed. You can save your admission letter as a PDF. Please review your letter carefully. Admitted applicants to a program requiring a criminal record check will have instructions on how to complete the process and admitted doctoral students will have information about how to receive a tuition waiver in their letter.

A note for admitted international applicants:

If you are applying for a study permit, you will need to save a copy of the Citizenship and Immigration Canada letter of acceptance supplement that is linked within your admission letter. Clicking on the link will take you to a PDF document you can save to your computer. A screen shot from the admission letter is shown below.

Are you getting an error code?   

If you receive an error code 18 or 27, please contact graduate-admissions@unbc.ca for help.  An error code looks like this:

On rare occasions, other technical issues may arise that may be a result of your computer settings. Try: 

  • Make sure you’re using a computer and not your mobile device. 
  • Use a private browser to log in.

Error code other than 18/27 and still having problems? 

For all other issues, our IT department will need to help you out. In such case, you should email IT support. Remember to include the error code number you received in your email.  

Troubleshooting

I didn't receive an email to activate my ÂÜÀòÉäÇø account

If you have previously attended ÂÜÀòÉäÇø, are currently attending ÂÜÀòÉäÇø, work here or have previously applied to ÂÜÀòÉäÇø, you may already have an account. Please ensure that it is your ÂÜÀòÉäÇø student account and NOT your ÂÜÀòÉäÇø Alumni Account.  Try . If you can't remember your password, you can reset it here.  

ÂÜÀòÉäÇø accounts and email addresses are now available upon receipt and initial processing of a student’s application.  Activate your new ÂÜÀòÉäÇø Account to log-in to this portal.  Please visit: /information-technology-services/accounts-new-students for more information.

I don't see any applications in my dashboard

If you've signed up with the wrong email address (e.g. not studentemail@unbc.ca), you will not see your application. Likewise, if you've signed up with more than one email address or with your personal email address, this will create issues. Please contact Need help?  or email support@unbc.ca 

I didn't receive an email to sign up for my applicant dashboard

Note that this invitation will be sent to your studentemail@unbc.ca email address. Check that email first, if you have not yet done so recently.

During peak application periods, it can take up to two weeks to receive this invitation. If you applied longer than 14 days ago and still have not received an email in your studentemail@unbc.ca account, please contact .

My reference is not showing as received

Start by checking your applicant dashboard to ensure you provided the correct email address for your referees, then check with your referee to ensure they received a request to provide a reference. If you have provided an incorrect email or your referees have not received a notification, email graduate-admissions@unbc.ca.

If your referee received a web form link and confirms to you that they have submitted their reference, wait for 24 hours and check your again. It can take up to one day for this information to populate. If you are still having issues, email graduate-admissions@unbc.ca.

I am not receiving emails from ÂÜÀòÉäÇø about my application

We will communicate with you through your studentemail@unbc.ca address. However, it is important to note that if you have unsubscribed from email communication, you will not receive further updates about your application. If you think this may be impacting you, contact FutureGradStudents@unbc.ca.
